SOP: Invite Team Members to a LeadDelta Workspace
Objective
This SOP explains how to invite colleagues or community members to a LeadDelta workspace, manage member access, and complete the invitation acceptance process. It also covers optional enterprise SSO provisioning and post-invite onboarding steps so the team can collaborate securely and efficiently.
Key Steps
1. Open the Add Members flow 0:34
- In LeadDelta, locate the Add members button at the top of the workspace.
- You can also access member-invite options from other areas such as the homepage or settings.
- Use this flow whenever you need to add coworkers, colleagues, friends, or community members to a shared workspace.
2. Enter invitee email addresses 0:46
- Click Add members.
- Type the invitee’s email address into the field.
- If inviting multiple people, copy and paste a list of email addresses from a spreadsheet.
- Review the list before sending to ensure the correct people are being invited.
3. Send the invitation 1:24
- After entering the email address(es), click Send an invite.
- Confirm the action succeeds before moving on.
- Note that invitees do not need to already have LeadDelta installed or registered to receive the invitation.
4. Handle enterprise SSO requests when needed 1:42
- If your organization uses an enterprise identity system such as Okta or another SSO provider, contact LeadDelta’s technical team.
- Request provisioning so the workspace can connect to your organization’s authentication system.
- Expect setup to be completed within 24 to 48 hours.
5. Review workspace members in Admin settings 2:22
- Go to Settings in the bottom-left corner.
- Open Admin to view team roles and active members.
- Check each member’s last login information.
- Use the three-dot menu next to a member to remove them from the workspace if needed.
6. Understand active and revoked member status 2:38
- Active members are currently part of the workspace and can be managed from the admin list.
- Revoked members are people who were invited but never accepted, and whose invitations were canceled.
- If needed, you can re-add revoked or removed members by using the same invite process again.
7. Monitor seat usage and pending invitations 2:38
- Check the seat counter at the top level of the admin area.
- Confirm whether all available seats are used.
- Remember that a pending invitation may still count toward seat usage depending on workspace status.
8. Accept the invitation from the recipient’s email 3:20
- Open the invitation email in the recipient’s inbox.
- Review the workspace name to confirm the invitation is legitimate.
- If the recipient already has a LeadDelta account, choose Login.
- If they do not have an account, choose Sign up after accepting the invitation.
9. Complete account setup and sign in 3:36
- Choose the appropriate sign-in method, such as Google or another supported method.
- Use the invited email address to continue.
- Complete the sign-up or login flow until access is granted.
10. Finish onboarding and workspace setup 4:04
- Download the LeadDelta Chrome app/extension if you are using LinkedIn in Chrome.
- If you are not ready to install it, choose Install later.
- Complete onboarding steps such as syncing LinkedIn contacts.
- Once onboarding is complete, the user becomes part of the workspace and can collaborate with the team.
Notes
- Do not invite the wrong email address; invitations grant workspace access.
- Check seat availability before sending large batches of invites.
- Revoked invitations are not active members and may need to be re-sent if the person should join later.
- If using SSO/Okta, coordinate with technical support before expecting users to sign in through that method.
- Users may need to complete onboarding and Chrome extension installation before they can fully use collaboration features.
Tips for Efficiency
- Copy and paste multiple emails from a spreadsheet to invite several people at once.
- Use the Admin page to quickly verify who is active, pending, or removed.
- For enterprise teams, set up SSO provisioning early to reduce manual account setup.
- Encourage new users to complete onboarding immediately so they can access shared connections and collaboration tools faster.
- If a user already has a LeadDelta account, have them choose Login instead of creating a new account.
